This article is for admins who want to sync Gusto payroll reminders to their personal calendar.
You can add important reminders to your personal calendar, or use Gusto's in-app calendar to keep everything in one place.

When you sync your personal calendar, we send the following payroll reminders automatically:
Company payroll paydays for regular payrolls (US payroll)
Deadlines to run regular payrolls (US payroll)
Approved employee paid time off dates
Employee birthdays (active employees)
Employee work anniversary dates (active employees)
New hire start dates
Country holidays
Every time your calendar syncs, we refresh events for the next two years and the past three months.
To sync reminders to your personal calendar:
Go to the Home page.
On the right, find the Upcoming header. You may need to scroll down.
Next to Upcoming, click Sync calendar.
Click which calendar you’re syncing to:
Google: Google Calendar opens in a new tab and prompts you to add the calendar link to your calendar. Click Yes, add this calendar. Learn more information.
Outlook: Outlook prompts you to add the calendar link to your calendar. Click Subscribe. Learn more information.
iCal: iCal prompts you to add the calendar link to your calendar. Click Subscribe. Learn more information.
Click Done.
After you sync, a “Gusto Reminders” calendar appears in your personal calendar view. How often the calendar syncs depends on the settings in your personal calendar (Google, Outlook, iCal).
Re-sync payroll reminders
If you need to resync your calendars, return to the calendar syncing screen and rerun the sync process.
Calendar sync privacy options
You can prevent unauthorized access to your calendars by generating new links. Anyone with the link can sync to your calendars, so generating new links also disconnects all existing sync connections.
To do this, click Generate new calendar links in the syncing flow.
Important: This immediately generates new calendar sync links and disconnects all existing calendar syncs. You cannot undo this action.
To remove calendar reminders, unsubscribe from the calendar in your iCal, Outlook, or Google Calendar account.
If a Global or Limited admin loses access to a Gusto account, we automatically remove all reminders from that former admin’s calendar after the next calendar sync.
Q: Do the deadline dates for payroll account for bank holidays?
A: Yes. If a bank holiday falls within the timeframe for processing your payroll, your calendar reflects the adjusted deadline, so you know to run payroll early. These deadlines show the very last day to run payroll so you can pay your employees on time through direct deposit (including bank holidays and weekends).
Q: Does this feature support multiple payroll schedules?
A: Yes. If you use multiple pay schedules, paydays and deadlines to run each payroll sync to your calendar.
Q: Can I customize which reminders sync to my calendar?
A: Not at this time. Once you’ve added the calendar URL, go to the Payroll reminders that automatically sync to a personal calendar section of the article for the standard set of events.
Q: I have multiple Gusto accounts. How can I tell which payroll reminder is from which account?
A: Payroll reminders appear under the calendar name “Gusto Reminders” by default. We recommend editing the details for “Gusto Reminders” in your calendar. You can change the name to the actual company name and choose a different calendar color for each Gusto account.
