This article is for admins who want to connect Homebase to Gusto.
Homebase is employee scheduling software that helps you keep your team in sync. You can build smarter work schedules, turn nearly any device into a time clock, and forecast labor costs.
With the Gusto and Homebase integration, employees and new hires sync from Gusto to Homebase, and timesheets sync from Homebase to Gusto.
Payroll information that syncs:
Regular hours
Overtime
Double overtime
Multi-role hours
Paid time off (PTO)
Wage rates
Break penalties and tips do not sync at this time.
Expand the sections to learn more, or use CMD + F (or CTRL + F) to search for keywords throughout the article.
Before you can sync employees and timesheets, you need to connect your accounts.
To connect Gusto to Homebase:
Go to the App directory.
Search for Homebase.
Click Learn more.
Click Connect.
Choose Continue.
Follow the prompts to sign in to Homebase and complete the account connection.
If you have multiple locations, make sure each location’s Gusto address matches its location address. Connect each location individually in Settings.
After connecting your accounts, import your employees from Gusto into Homebase.
To import employees from Gusto into Homebase:
In the top navigation bar, click the Team tab.
In the upper-right corner, click Add.
Click Import from Gusto.
Homebase automatically matches employees from Gusto to their existing Homebase profiles. It uses their payroll ID, email, and name to find matches.
Newly synced employees with email addresses will automatically get an invitation to join Homebase.
If your employee list already exists in Homebase, make sure employee information is correct to avoid duplication.
Homebase does not import inactive employees.
When you’re ready to run payroll, export your employees’ timesheets from Homebase to Gusto.
To export timesheets from Homebase to Gusto:
In the top navigation bar, click the Timesheets tab.
In the upper left, set the date range to cover the pay period you want to export.
In the upper-right corner, click Download.
Select Payroll Summary for Gusto.
In the bottom-right corner, choose Download Formatted for Gusto.
Your timesheets now appear in the Run Payroll tab of your Gusto account.
Note: Break penalties and tips need to be entered manually.
Q: What if my employee works for multiple locations?
A: If you have multiple Homebase locations but only one Gusto account, hours will not send correctly, and the integration will not work.
For these employees, manually add the hours worked at the other locations in Gusto.
Use the Company Level Timesheets page to find the hours each employee earned at each location for the pay period.
Q: What if I’ve already exported my timesheets from Homebase to Gusto but need to export an amendment?
A: You can export as many times as you want. Each export overrides the last one, so if you make a mistake or add a timecard late, you can export again.
Q: Why didn’t my employees export to Gusto?
A: If an employee’s profile already has a payroll ID from another provider, the information will not export.
To make sure your employee’s info is up to date:
Click the Team tab.
Click the employee’s name.
Go to the Locations & PINs tab.
Update the payroll ID.
Click Save Changes.
Q: Does Homebase support exporting contractors’ hours?
A: No, not at this time.
Q: Can timesheet hours export to Gusto even if some employees in Homebase have no hours?
A: Yes. The export will skip over those employees.
Q: What if I update or change my business address in Gusto?
A: We recommend you disconnect and reconnect the integration in Homebase to apply the changes.
