Integrate with QuickBooks Time (formerly TSheets)

QuickBooks Time (formerly TSheets) is an employee time tracking and scheduling solution for a mobile and hourly workforce. 

With the Gusto and QuickBooks Time integration, you can run payroll more efficiently by syncing employee time tracking data to payroll. Contractor data is not included in the sync—be sure to manually add contractor hours when you run payroll. 

Connect to Gusto from QuickBooks Time

  1. In your QuickBooks Time account, click Add-Ons.
  2. Select Manage Add-Ons.
  3. Scroll down to Gusto and click Install.
    • If you're an Intuit Payroll user switching to Gusto, you may not see Gusto in this menu until your final billing cycle with Intuit Payroll is complete. If needed, contact QuickBooks Time support for assistance. 
  4. Click Connect to Gusto.
  5. Enter your Gusto admin credentials and click Sign in.
  6. If you have multiple companies, select the one you are linking.
  7. Complete the following details:
    • Settings: Confirm that Gusto can change the Timezone and Week Start Day. These must match between Gusto and QuickBooks Time in order for hours to export correctly.
    • Overtime Settings: Set the weekly threshold for overtime hours.
    • PTO Settings: Gusto uses PTO codes for Vacation and Sick Time. For any custom PTO codes set up in QuickBooks Time, confirm that it's ok to export those hours as Vacation time.
      • Important: If you have sick time PTO in QuickBooks Time, the title must be "Sick" for those hours in QuickBooks Time. PTO Hours titled anything other than "Sick" alone, will be pushed to Gusto as vacation hours.
      • Employee Sync: If there are any workers not matching between Gusto and QuickBooks Time, you'll be asked to either link them or skip them from time sheet exports.
  8. Click Finish.

Before you run your next payroll, you can import employees and pay periods, or export approved hours.

Paid time off accrual: if you've set up paid time off in Gusto, hours that you export to Gusto from QuickBooks time contribute to time off accrual. However, if PTO accruals are set up in both Gusto and QuickBooks Time, Gusto does not receive updated PTO balances. Refer to QuickBooks Time for the most up-to-date time off accruals.

Making changes to synced hours: if you haven't run payroll yet, you can un-approve, re-approve, then re-run the export from QuickBooks Time. This will overwrite previously synced data for that pay period. If you've already run payroll, hours for that pay period cannot be changed.
