Set up When I Work

When I Work is a tool for scheduling and communicating with hourly employees, tracking time, and creating time sheets.

When you connect Gusto to When I Work, you can quickly sync your time tracking information with payroll.

Connect to Gusto from When I Work

To connect your company's accounts and start syncing time sheets, follow the steps below or in When I Work's video.

  1. Before you start, make sure that:
    • The pay schedule matches between Gusto and When I Work.
    • All When I Work users have Gusto employee profiles.
    • If you use PTO hours in When I Work: you've set up a paid time off policy in Gusto
  2. In your When I Work account, click your profile picture in the upper-right corner.
  3. Click App Settings.
  4. Click Integrations.
  5. Next to Gusto, click Connect.
  6. Enter your Gusto admin credentials.
  7. Import any employees seen in Gusto that are missing in When I Work.

Once you've finalized your time sheets for a pay period, export the hours to Gusto. Multiple pay rates for employees are supported.
