Wire funds to Gusto

There are a few ways you can wire funds to Gusto—use the dropdowns below to learn more, or use CMD + F (or CTRL + F) to search for keywords throughout the article.

One-time wire transfers

One-time wire transfers are different from setting up reverse wires in Gusto. If a one-time wire is an option, you'll be prompted about it at the beginning of the run payroll flow.

Wire transfer requirements—read before you send a one-time wire transfer

Once you submit a payroll, we'll provide wire instructions for you to use with your bank. If your wire doesn't meet the requirements below, we may not be able to receive it. If that happens, your team won't be paid on time.

Wire transfer requirements

You must include the unique tracking code provided in the wire instructions
The amount you send must exactly match the amount in the wire instructions
The originating bank account must be based in the US
You must be authorized to use the bank account on behalf of the company.

Heads up: We'll add $5 per wire to your monthly invoice, and additional bank fees may apply.

One-time wire transfers

If you haven’t set up reverse wire but you need to send a wire, you’ll need to initiate the wire transfer directly with your bank. We'll add $5 per wire to your monthly invoice, and additional bank fees may apply.

How to initiate the wire transfer directly with your bank

Gusto will prompt you at the begging of a payroll run if a one-time wire is an option.

If you've chosen to fund a payroll with a wire transfer, submit the payroll or payment in Gusto as usual—after you submit, you’ll see wire transfer instructions.
Keep the screen open, take a screenshot, or download the instructions so you can reference them in the next step.
Contact your bank to initiate the wire transfer—make sure to use each detail of the wire instructions, and don't forget to reference the wire transfer requirements dropdown above.
- Important: You must include the unique tracking code, and the dollar amount must exactly match the total amount of the payroll/payment.
Continue to the next page and submit the details of your wire transfer.
- This helps us match the wires we receive to your account—which helps to get your team paid quicker.

Reverse wire payrolls

Setting up a reverse wire with your bank authorizes Gusto to withdraw funds from your account by wire transfer (ongoing, versus one-time). If you’re running 2 day payroll, we may ask you to set up reverse wire to allow us to pay your team and your taxes on time.

Keep in mind: If you've been asked to set up reverse wire, and were previously running next-day payroll, you'll be switched to 2-day payroll for payrolls going forward.

Once you've turned on the reverse wire feature in Gusto, run payroll as normal—we'll let you know before each payroll submission if we're going to use a reverse wire to debit the bank account.

Set up reverse wire with your bank

Before we can debit funds via reverse wire (drawdown), you have to set up a few things with your bank.

Contact your bank and ask to set up an ongoing reverse wire debit with Gusto. They’ll ask for our bank information.
- Here are some known contacts associated with major banks:
  - Wells Fargo: Wire Transfer Team at (888) 384-8400 and choose option 0
  - Chase: Contact your “Relationship Manager”
  - First Republic Bank: Call your personal banker or the customer service line at (888) 408-0288
  - City National Bank: Contact your “Relationship Manager”
  - TD Bank: Call your local branch
  - PNC Bank: You must visit a local branch in person.
- The turnaround time for these requests also varies by bank, but typically takes less than 7 business days to complete.
Ask your bank to give Gusto permission to use a reverse wire or drawdown to debit funds from your account.
Ask your bank for your:
- Reverse wire routing number
  - This may be a unique ABA/routing number for reverse wire (or drawdown) transfers—be sure to check.
- Bank address
Once all steps above are completed, sign in to your admin account in Gusto.
Head to the Payroll section and select Payroll settings.
Under the “Settings” headline, next to “Reverse Wire”, click Enable.
- If you do not see this option, you'll need to contact us from the Help or Priority support section of your account to assist.
Click Start setup.
Since you've already completed the early work, you can click I've completed all steps.
Enter your bank information and bank address.
Click Save & continue.
Complete any remaining steps, including providing a signature.

Run a reverse wire payroll

Definition of a reverse wire debit

A reverse wire debit is a way for us to withdraw money from your bank account using a wire transfer. If you've been asked to set up reverse wire and were running next-day payroll, you'll be moved to 2-day payroll ongoing.

Please note, some banks do not support reverse wires, so this feature is not available for all customers.

How to activate the reverse wire feature

Click the Payroll section and select Payroll settings.
Under the Settings section, select Enable under Reverse Wire.
From the setup page, click Start setup.
Contact your bank
- Make sure your bank supports reverse wire debits.
- Download Gusto’s bank information to provide to your bank.
- Ask your bank to authorize Gusto to use a reverse wire to debit from your bank account.
- Ask your bank for their address and wire transfer routing number for reverse wire transfers.
- Click I’ve completed all steps.
Enter the info you just collected, including your bank’s wire transfer routing number and address. Click Save & Continue.
Enter your signature and click Sign if you agree to authorize us to reverse wire debit your account.

How to process a reverse wire payroll

Once you've activated the reverse wire feature in your account, navigate to the Payroll section and run payroll as normal. If we're going to use a reverse wire to debit your bank account, we'll notify you before you submit the payroll.

Cost of a reverse wire

Your bank may charge a fee for the reverse wire transfer, the fee amount varies by bank but is usually $15-$30. Contact your bank for exact pricing. Gusto is not responsible for any fee your bank charges.
