Integrate with ZipBooks

ZipBooks is a simple accounting software that gives you the tools and intelligence to help you run and grow your business.

Gusto integrates with ZipBooks to help automate the accounting process and time and attendance functions. 

Customers who join Gusto from ZipBooks will receive Gusto free for their first 3 months.

Integration details

The integration between ZipBooks and Gusto will sync:

Connect to ZipBooks

  1. Sign in to ZipBooks.
  2. Navigate to the Payroll on the left side of your screen.
  3. Click Log in to Gusto (or Sign up).
    • You’ll be redirected to the Gusto login page.
  4. Enter your Gusto signin credentials and click Sign In.
  5. Click Authorize.
  6. Review the list of Gusto employees and indicate whether you'd like to:
    • Add to ZipBooks team as a new employee.
    • Ignore in ZipBooks.
    • Link to an existing team member.
  7. Click Next.
  8. A list of ZipBooks employees that are not currently listed in Gusto will now appear. Select whether you’d like to:
    • Add them to Gusto.
    • Don’t Add to Gusto.
  9. Set team member permissions.
    • If you have other ZipBooks team members who should be able to manage all aspects of Gusto payroll, check their name.
  10. Click Done.

You’ll be redirected to your Time & Pay page in ZipBooks.

Sync time entries from ZipBooks to Gusto

  1. Sign in to ZipBooks.
  2. Select Tracking from the menu.
  3. Click on Time & Pay.
  4. Filter the view by Team member and/or Pay period.
  5. Once the screen shows all relevant time entries, click Sync all to Gusto.

All current time entries from ZipBooks will sync to the corresponding pay period in Gusto. Within ZipBooks, your time entries will be marked as Synced and will be automatically marked as Paid once payroll is run.

Add a new team member from ZipBooks to Gusto

  1. Sign in to ZipBooks.
  2. Select Tracking from the menu.
  3. Click on Time & Pay.
  4. Locate the calendar for the user.
  5. Choose whether to Add to Gusto or Link to an existing Gusto employee.
  6. Click Done.

The user will now appear in People section of your Gusto account. You’ll need to complete setup for this employee before you can run their first payroll.

Sync payroll transactions from Gusto to ZipBooks

With sync payroll transactions turned On, ZipBooks will pull information from your Gusto account to automatically create transactions for reporting and accounting in ZipBooks.

To sync and review payroll transactions:

  1. Sign in to ZipBooks.
  2. Click the More drop-down from the top menu in ZipBooks.
  3. Under the Account headline, click Integrations.
  4. Click Preferences on the Gusto tile.
  5. Toggle On to sync payroll transactions.
  6. Choose the date you’d like to sync payrolls back to.
  7. Under My books in the left-hand menu, select Transactions.
    • ZipBooks will default to showing All Transactions.
  8. To show Gusto’s transactions, click the Show drop-down and select Integrations.
  9. To view the details of individual transactions, click View Split.
    • All mappings are default mappings pre-set by Zipbooks.
    • All payroll transactions are reconciled against a payroll payable account.
    • Only FICA taxes are broken out, all state/local taxes go to an “other taxes” expense account.
    • All wages are lumped together regardless of earning type.
  10. Toggle from a Standard view to an Advanced view in the top-right hand corner of the pop out.

Entries can be adjusted at anytime to add granularity (i.e. break out tips, or a department’s wages); accounts can be changed, but the changes will not be preserved for the next payrolls.
