This article is for admins who want to connect Gusto with OnTheClock for time tracking and attendance.

We integrate with OnTheClock to sync time and attendance data directly to Gusto.
Note: Customers who join Gusto from OnTheClock will receive Gusto payroll free for their first 3 months.
If you do not have a Gusto account yet, you can sign up directly from OnTheClock.
To sign up for a new Gusto account from OnTheClock:
Go to Settings.
Choose Time Clock Settings.
Go to Payroll Providers.
Find Gusto and click Learn more.
Complete the sign-up instructions.
If you already have Gusto and OnTheClock accounts, follow these steps to connect them and start syncing data.
To connect Gusto with OnTheClock:
Select Admin.
Enter your login credentials.
Click Login.
Choose Settings.
Click Time Clock Settings.
Click the Payroll Providers tab.
Under Payroll Software, find the Gusto tile and click Connect Gusto.
Enter your Gusto sign-in credentials and click Sign In.
Click Authorize.
OnTheClock will redirect you back to the Payroll Providers tab.
Confirm that Gusto shows a status of “Connected.”
Your Gusto and OnTheClock accounts are now connected. If you need to disconnect in the future, you can do so from the Payroll Providers tab in OnTheClock.
Choose the section of the article that matches your setup and follow the instructions to sync employees.
If you have an existing Gusto account and a new OnTheClock account with no employees, go to the Import your Gusto employees to OnTheClock section.
If you have an existing OnTheClock account and a new Gusto account with no employees, go to the Export your OnTheClock employees to Gusto section.
Use these steps if you have an existing Gusto account and a new OnTheClock account with no employees.
To import your Gusto employees to OnTheClock:
Click Employees.
Click View Full Employee List.
Click Add Employees.
Select Gusto Import. This will bring up a window that matches your Gusto employees with your OnTheClock employees.
If an employee is already imported and linked: A small link icon will appear next to the employee’s name under the Gusto Employee column.
If an employee has not been linked, but we matched them to an OnTheClock account: The OnTheClock employee will be preselected in the drop-down list on the right.
If we could not match the employee: “Create New” will be preselected in the drop-down list.
If you do not want to sync an employee: Select Do Not Sync in the drop-down list.
Confirm that the employees are mapped correctly and select Sync Employees.
OnTheClock will import and sync the employees you selected to your OnTheClock account.
Use these steps if you have an existing OnTheClock account and a new Gusto account with no employees. This will send employee info from OnTheClock to Gusto so you can onboard them to Gusto more quickly.
To export your OnTheClock employees to Gusto:
Click Employees.
Click View Full Employee List.
Click Add Employees.
Select Gusto Export. This will bring up a window matching your OnTheClock employees with your Gusto employees.
If an employee is already exported and linked: A small link icon will appear next to the employee’s name under the OnTheClock Employee column.
If an employee has not been linked, but we matched them to an existing Gusto account: The Gusto employee will be preselected in the drop-down list under the How to handle in Gusto column.
If we could not match the employee: “Create New” is preselected in the drop-down list.
If you do not want to sync an employee: Select Do Not Sync in the drop-down list.
Confirm that the employees are mapped correctly and click Sync Employees.
Any employees you selected “Create New” for will appear in the Hiring tab in Gusto. You need to add them to payroll in Gusto before timecard data can sync.
Before you send a timecard, make sure you’re connected to Gusto and all your employees have synced successfully.
Note: You need existing timecard entries in your OnTheClock account to send employee hours to Gusto. We recommend sending hours to Gusto after employees clock in and out for a full pay cycle.
To send OnTheClock timecards to Gusto:
Click Time Cards.
Confirm the pay period covers the date range you want to send to Gusto.
In the Options panel above the timecard table, click Send to Gusto.
Timecard data that Gusto will get:
Regular Hours
Overtime Hours
Double Overtime Hours
Vacation Hours
Sick Hours
Tips
Bonuses
Commissions
Note: You need to set up vacation and sick time PTO policies in Gusto first for those values to sync successfully. You can set up federal holidays in Gusto, and they’ll automatically count as PTO when you process payroll.
If you’re having trouble syncing employee timecard data, check the following:
Confirm that the OnTheClock employee is linked to a Gusto employee.
Confirm that the linked Gusto employee is fully onboarded in Gusto.
Confirm that you have not already processed the Gusto payroll for the timecard date. Only unprocessed Gusto payrolls will update.
After OnTheClock sends timecard data, you can review the hours in Gusto when you run payroll.
To view OnTheClock hours in Gusto:
Go to Pay.
Select Run payroll.
Under Regular Payroll, select your pay period.
Click Run payroll.
Employee hours will appear on page 1 of payroll, and on page 2 if sick and vacation time applies.
Q: What happens if you update an employee’s information after the sync?
A: If you update an employee in OnTheClock or Gusto after a sync, you’ll need to re-sync. If the update involved general information, you may need to manually update both systems, but timecards are often not affected.
Q: Does the integration support multiple pay rates or jobs?
A: Not at this time. OnTheClock is always improving its product and will notify customers if this changes.
Q: Can you automate the sync?
A: No. An admin needs to do a final review and approve timecards before sending the information to payroll.
