Add previously dismissed employees to Gusto

To make sure all W-2s include accurate year-to-date information, you'll need to report any payrolls processed outside of Gusto for both dismissed and current employees. 

This process starts by adding previously dismissed employees that are not currently listed in Gusto to your account. To do this:

  1. Sign in to Gusto.
  2. Click the People section and select Team members.
  3. Click Add a team member.
  4. Next to “Dismissed employee”, click Add.
  5. Enter the dismissed employee’s details—you'll need to work with the dismissed employee to obtain this information:
    • First name, middle initial
    • Last name
    • Social security number (SSN)
    • Birthdate
    • Home address
    • Work address
    • Start date
    • Last employed date
  6. Click Save.
    • The dismissed employee will now be displayed on the list of dismissed employees.
  7. Go to the Run Payroll section of your account to report any (and all) missing payrolls that need to be added for the once dismissed employee.

If you go through these steps and receive the error message "SSN already in use," it means the employee is already added into the system. Head to the People section and select Team members, then click Show dismissed people to find the employee's profile, where you can rehire them if need be.
