This article is for admins who want to connect Gusto to Ignition.
Ignition is the world’s first client engagement and commerce platform for accounting and bookkeeping firms. It helps you win new business with impressive digital proposals and engage clients with a clear scope of work. It also automates payment collection so you get paid on time.
When you connect Ignition to Gusto, you can sync Gusto company data and unlock proposal templates. These templates help you package, price, and offer three-tiered People Advisory services to your clients.
To set up the integration, you’ll connect your Gusto account from within Ignition.
To connect Gusto to Ignition:
Go to the Apps tab.
Choose the Gusto tile.
Click Connect to your account.
Enter your Gusto admin credentials and click Sign in.
Check the box for the Gusto account(s) you want to give Ignition access to.
Click Authorize.
In Ignition, the Gusto tile now shows as “Enabled,” and your company data syncs right away. You can also access a Gusto-specific proposal template from Ignition. To learn how, go to the Access your Gusto proposal template section of the article.
Once you connect your accounts, we sync company data to Ignition once a day at 6am in the account’s local time zone.
If you need to make client changes, make them in Gusto first. Ignition overwrites any changes you make there with the data that syncs from Gusto.
Sync company data right away
If you update company details in Gusto and want those changes to sync to Ignition right away, you can start a manual sync.
To start an immediate sync:
Go to the Apps tab.
Choose the Gusto tile.
Click Sync.
Choose how much company data syncs
In Ignition, you can choose whether the data sync includes all company details, just the client name, or no data at all.
To choose how much company data syncs:
Go to the Apps tab.
Choose the Gusto tile.
Click Client Sync.
Choose which data you want Gusto to send to Ignition for this client.
All data: Syncs all company details
Client names only: Ignition syncs name changes but ignores all other changes.
Nothing: No Gusto changes for this client sync to Ignition.
The Gusto-specific proposal template in Ignition helps you package, price, and offer three-tiered People Advisory services to your clients.
To create a new Ignition record and access the Gusto proposal template:
At the top of the page, click the red plus sign.
Choose Proposal.
In the Client field, type to search and select the name of the client you want to create a record for.
The Gusto sync automatically fills in the client’s company info. Review it for accuracy and click Save Client.
Once Ignition creates the client record, available templates appear on the right side of the screen under Proposal templates. Scroll to select Gusto’s People Advisory Packages.
The template is the recommended way to package People Advisory services. Under Services, Ignition tailors the packages to service offerings your client can choose from. After you review and customize the proposal, you can save the draft and send it to the client.
When you price a service based on a client’s number of active employees, you normally have to check the employee count to issue accurate invoices. With Smart Billing, Ignition automatically pulls the current employee count from Gusto each time it issues an invoice.
Step 1: Turn on Smart Billing in Settings
After you connect your Gusto and Ignition accounts, turn on Smart Billing in Ignition Settings.
To turn on Smart Billing:
Go to Settings.
Choose Labs.
Under Smart Billing for Gusto, click the switch to turn it on.
Next, follow Step 2 to apply Smart Billing to your proposals.
Step 2: Apply Smart Billing to your proposals
Smart Billing works for services you bill based on a client’s number of active employees. For per-person billing, the price type must be set up as “Variable - Unit.” Follow these steps for each proposal or billing schedule you want Smart Billing to apply to.
To apply Smart Billing to a proposal:
In Ignition, create a new proposal or open an existing one you want to set up Smart Billing for.
Go to Step 2 of the proposal editor, Services.
Under the Value row, next to the rate you set, click the magic wand icon.
Choose the Gusto company associated with this proposal.
If your client does not have a Gusto account yet: You can select I’ll add it later. After the client sets up their Gusto account and accepts the proposal, return to these steps to turn on Smart Billing.
Click Enable.
The magic wand icon turns green when Smart Billing is on. Finish setting up your proposal if needed.
The next time Ignition creates an invoice based on this proposal, it automatically checks Gusto’s current active employee count. Repeat these steps for each service you want to use Smart Billing for.
