Integrate with Connecteam

Before you start: in order for timesheets to sync, your company pay schedule(s) must be the same in Gusto and Connecteam. Click the accordion below to learn how to verify your pay schedule in both Gusto and Connecteam. 

Connect to Gusto from Connecteam 

1. Sign in to your Connecteam admin account.
2. Under “Operations” in the left menu, go to the Time Clock section.
3. Click Settings. 
4. Go to the Integrations tab.
5. In the Gusto tile, click Connect.
6. Click Connect integration.
   • If you’re new to Gusto: Select Create one now and complete your company onboarding in Gusto. Then return to Step 1 to resume integrating your accounts. 
7. Enter your Gusto admin credentials and click Sign In.
8. Click Authorize. 
9. Once you’re redirected to Connecteam, click Start matching employees. 
10. Connecteam automatically matches as many employees as they can. 
    • If anyone’s listed under “Unmatched users”: Click Select matching user and choose the Gusto profile that belongs to the Connecteam user on the left. 
    • If anyone is missing from the list that you’d like to import from Gusto: Click Import users. Click Add more to select additional users to add from Gusto. Then click Confirm to import the users and invite them to create Connecteam accounts.
    • If you’d like the integration to exclude any employees’ data from syncing: Find their name in the left-hand column. In the right-hand column, select Ignore this User. Their timesheet data will not be included in exports to Gusto. 
11. Once all your employees are listed under “Matched users,” click Confirm matching. 

Your company’s Gusto and Connecteam accounts are now integrated. At the end of your next pay period, follow the steps below to export your Connecteam timesheets to Gusto.

At the end of a pay period, follow the steps below to send timesheets from Connecteam to Gusto to streamline your payroll. 

1. Sign in to your Connecteam admin account.
2. Under “Operations” in the left menu, go to the Time Clock section.
   • If your company has multiple pay schedules: You’ll export one Time Clock at a time to Gusto. Follow the steps below to export the first Time Clock’s timesheets, then if needed return to the Time Clocks Lobby to select and export additional Time Clocks.
3. Go to the Timesheets tab.
4. Next to “Date range,” select the pay period you’re exporting.
5. On the right side of the screen, click Export.
6. Choose Export to Gusto.
7. Double-check the pay period and click Confirm export.
8. If any users’ timesheets were not sent to Gusto, their names are listed in the confirmation screen. 
   • If they should be included in the pay period, make sure to manually enter their hours in Gusto when you run payroll.
   • Follow these steps if you need to change an employee to hourly in Gusto. 

Once the sync is complete, you can review the synced timesheet data in your Gusto admin account: head to the Pay section, click Run payroll, and select the pay period.

Re-exporting data: If employees’ timesheets change before you run payroll and you need to update a pay period you’ve already sent to Gusto, follow the same steps above to re-send the timesheets to Gusto. Hours you export from Connecteam will always overwrite any hours in Gusto. Empty timesheets will not overwrite information that already exists in Gusto.

“Active payroll” error

You may receive this error if your Gusto admin credentials have changed and you need to reauthorize the integration. Click Resolve in the error message and follow the instructions to reconnect. 

“Employees matching” error

If you receive this error after attempting to export a timesheet to Gusto, there may be new employee accounts you need to match before you can export their timesheets. If you receive this error:

1. Click Resolve.
2. “Unmatched users” lists each Connecteam user that is not matched to a Gusto profile. 
   • If you don’t want the users’ hours to export to Gusto, click Confirm matching and then choose Export anyway.
3. Click Select matching user and choose the Gusto profile that belongs to the Connecteam user on the left. 
4. Click Confirm matching.
5. Try exporting the pay period again.

A Connecteam user is matched to the wrong Gusto profile 

If you’ve matched an employee to the wrong account, follow these steps to re-match them:

1. Sign in to your Connecteam admin account.
2. Under “Operations” in the left menu, go to the Time Clock section.
3. Click Settings. 
4. Go to the Integrations tab.
5. In the upper-right corner of the Gusto tile, click the matching icon. 
6. Click Start matching employees.
7. In the left-hand column, find the name of the employee you’re re-matching. Click the dropdown menu in the right-hand column and select their Gusto account.
8. Click Confirm matching.
