This article is for admins who want to connect Connecteam with Gusto to sync timesheets.
Connecteam is an employee management app you can use to communicate with, manage, and train deskless employees (like field workers, job site workers, or in-store workers).
When you set up the Gusto and Connecteam integration, you can send timesheets (including regular hours, overtime, and double-time hours) from Connecteam to Gusto for each pay period.
Note: Customers who join Gusto from Connecteam will receive Gusto payroll free for their first 3 months.
For timesheets to sync, you first need to check your pay schedule in both Gusto and Connecteam to make sure the pay period dates match.
Check your pay schedule in Gusto and Connecteam
To verify your company’s pay schedule in Gusto:
Go to Pay.
On the right, click Settings.
Under Pay schedule, look at the dates for the pay period.
Next, compare it to your pay schedule in Connecteam:
In the left menu, under Operations, go to Time Clock.
Click the Timesheets tab.
Look at the dates next to Date range. If the pay period dates are different from those in Gusto, update your pay schedule in either Gusto or Connecteam so both systems match.
To connect your Gusto and Connecteam accounts:
In the left menu, under Operations, go to Time Clock.
Click Settings.
Go to the Integrations tab.
In the Gusto tile, click Connect.
Click Connect integration.
If you’re new to Gusto: Select Create one now and complete your company onboarding in Gusto. Then return to Step 1 to continue connecting your accounts.
Enter your Gusto admin credentials, then click Sign In.
Click Authorize.
After you’re redirected to Connecteam, click Start matching employees.
Connecteam automatically matches as many employees as possible.
If you find anyone under Unmatched users: Click Select matching user, then choose the Gusto profile that belongs to the Connecteam user on the left.
If anyone you want to import from Gusto is missing from the list: Click Import users. Click Add more to select more users to add from Gusto. Then click Confirm to import the users and invite them to create Connecteam accounts.
If you want to exclude any employees’ data from syncing: Find their name in the left column. In the right column, select Ignore this User. Their timesheet data will not be included in exports to Gusto.
After all your employees appear under Matched users, click Confirm matching.
You have now connected your Gusto and Connecteam accounts. At the end of your next pay period, follow the steps to export timesheets from Connecteam to Gusto.
After each pay period ends, you can send timesheets from Connecteam to Gusto.
To export timesheets to Gusto:
In the left menu, under Operations, go to Time Clock.
If your company has multiple pay schedules: You’ll export one Time Clock at a time to Gusto. Follow the steps below to export the first Time Clock’s timesheets. Then, if needed, return to the Time Clocks Lobby to select and export more Time Clocks.
Go to the Timesheets tab.
Next to Date range, select the pay period you’re exporting.
On the right side of the screen, click Export.
Choose Export to Gusto.
Check the pay period and click Confirm export.
If the export did not send any users’ timesheets to Gusto, their names appear in the confirmation screen.
If they should be included in the pay period, enter their hours manually in Gusto when you run payroll.
Follow these steps to change an employee to hourly in Gusto.
After the sync is complete, you can review the synced timesheet data in your Gusto admin account: Go to Pay, click Run payroll, and select the pay period.
Re-export data
If employees’ timesheets change before you run payroll and you need to update a pay period you already sent to Gusto, follow the same steps above to re-send the timesheets to Gusto. Hours you export from Connecteam always overwrite any hours in Gusto. Empty timesheets do not overwrite existing information in Gusto.
If you run into errors while syncing timesheets between Connecteam and Gusto, try the solutions in this section.
You might get this error if you changed your Gusto admin credentials and need to allow the integration to connect again. Click Resolve in the error message and follow the instructions to reconnect.
If you get this error when trying to export a timesheet to Gusto, you might need to match new employee accounts before you can export their timesheets.
To resolve this error:
Click Resolve.
Unmatched users lists each Connecteam user that does not match a Gusto profile.
If you do not want users’ hours to export to Gusto, click Confirm matching, then choose Export anyway.
Click Select matching user and choose the Gusto profile that belongs to the Connecteam user on the left.
Click Confirm matching.
Try exporting the pay period again.
If you’ve matched an employee to the wrong account, follow these steps to match them again:
In the left menu, under Operations, go to Time Clock.
Click Settings.
Go to the Integrations tab.
In the upper-right corner of the Gusto tile, click the matching icon.
Click Start matching employees.
In the left column, find the name of the employee you’re matching again.
Click the dropdown menu in the right column and select their Gusto account.
Click Confirm matching.
