This article is for admins who want to create and send HR documents from templates in HR Resources.
HR Resources gives you a library of professional, ready-to-use HR document templates, so you do not have to draft something from scratch or search the internet for a generic form. Templates fill in your employee's basic information automatically, like name, manager, date, and role. For template-specific details, like a new compensation rate, you fill those in yourself. You send and store the finished document the same way you already do in Gusto.
Expand the sections below for details.
Templates are organized by situation:
Category
Templates
Hiring and onboarding
Confidentiality/NDA agreement
During employment
Leave of absence request form, performance improvement plan (PIP), PIP check-in log, corrective action/written warning, remote work agreement, notice of compensation/position change, return to work agreement, and final written warning
Off-boarding
Termination/final FAQ document
To find HR Document Generator from HR Resources, follow these steps:
Go to HR Resources.
Under HR Document Generator, click View Documents.
Browse by category to see what's available. Click a template to see when to use it and what it includes. For example, we describe Notice of compensation/position change as “any time an employee's compensation, job title, department, manager, FLSA classification, or employment type changes.” Click Use template to start.
To create your document, follow these steps:
Under Select recipient, search for and select the employee to autofill the document. Gusto pulls in their name, manager, and other basic details automatically.
For template-specific details, like a new compensation rate, enter the information yourself in the Edit section panel on the right. Every field is editable. Update the text directly, or click a field to see guidance on what to include and why.
If a field does not apply, type N/A (or similar) rather than leaving it blank.
Click Send document when you're ready.
Heads up: If a red flag icon appears on your handbook, downloads stay greyed out until you accept or dismiss all outstanding policies.
Sent documents route to your employee the same way any other Gusto document is sent. They get a notification to review and sign it.
Sent documents appear in the employee’s profile and in the Artifacts tab on the Documents page.
HR Document Generator is a new, early access feature. A few things are not available today:
Automatic state-specific compliance checks. Templates include general guidance, but you should still have a professional review state-specific requirements.
Saving your own edited version as a reusable company template
Creating documents from a mobile device
A formal approval workflow, from draft to review to approval to send. Anyone with access can send a document directly today.
