This article is for admins who want to connect Gusto to Timesheets.com and send approved hours to Gusto for payroll.
Timesheets.com is a cloud-based time tracking tool. Your team clocks in and out from the web, a mobile device, or a shared kiosk, and managers review and approve the hours.
When you connect Timesheets.com to Gusto, Gusto stays the source of truth for employee and company information while Timesheets.com handles time tracking. After you close a payroll period in Timesheets.com, you send the approved hours to Gusto in a few clicks.
The integration is available on all Timesheets.com plans.
You set up the integration from within Timesheets.com.
To connect Gusto to Timesheets.com:
Sign in to Timesheets.com.
Select the gears icon in the top right to open Company Settings.
Select the Data Export tab and find the Gusto section.
Select Payroll Sync.
On the Gusto page, select Login to Gusto and finish Gusto’s authentication process to connect your company.
If you do not have a Gusto account yet, select Create an Account to sign up.
Follow the prompts to connect your Gusto account.
Timesheets.com and Gusto each own part of the picture. Gusto holds employee and company information. Timesheets.com tracks the hours and sends them back for payroll.
Names and pay schedules sync from Gusto to Timesheets.com for employees who already exist in both systems.
New employees are the exception. Timesheets.com does not create employees from Gusto, so you add each new hire in Timesheets.com and map them to their Gusto record.
Important: If you add someone in Gusto and they never appear in Timesheets.com, nothing is broken — you need to add them by hand. Go to the Add a new hire to Timesheets.com section for steps.
Timesheets.com sends calculated payroll hours to Gusto time cards after you close a payroll period and run the sync.
Time off is the exception to where it lands. Timesheets.com sends time off straight to payroll, so it does not appear on the Time and attendance tab in Gusto.
Contractor time does not sync. Timesheets.com tracks contractor hours, but does not send them to Gusto right now. Timesheets.com plans to offer this in the future.
The newest sync wins. Hours from the second sync overwrite whatever is already on the Gusto time card for that period — they do not add to it. This is what lets you correct a period and resend it.
One at a time. Timesheets.com holds a single Gusto connection, so to use a different company you disconnect the integration first, then reconnect to the new one.
After you close a payroll period in Timesheets.com, you can send the data to time cards in Gusto.
To send payroll data to Gusto:
Go to Reports in the left menu.
Select Report 2: Closed Payroll Period Reports.
Find your latest payroll. It is usually at the top of the list.
Select the sync icon.
Look for the on-screen confirmation that Timesheets.com sent the data.
Sign in to Gusto and go to Time and attendance, then Time tracking.
Review your timesheet data for the week you want.
If the data looks right, select Sync hours to payroll and finish your payroll.
If you find a mistake in a payroll period you already sent to Gusto, what you can do depends on whether Gusto has processed the payroll yet.
To resend timecards:
Go to Reports in the left menu.
Select Report 2: Closed Payroll Period Reports.
Find your latest payroll. It is usually at the top of the list.
Select the delete-sync icon.
Undo the payroll report and make your changes in Timesheets.com.
Close the payroll period again.
Repeat the steps to sync your data.
Your corrected hours overwrite the hours already on the Gusto time card.
Once you send a payroll for processing in Gusto, Timesheets.com can no longer make changes through the integration.
You may still be able to cancel the payroll in Gusto, which lets Timesheets.com resume making changes through the integration. To check whether you can cancel it, review how to edit, cancel, or reverse a payroll.
If you cannot cancel the payroll, you need to work with Gusto’s support team on any changes.
Timesheets.com does not create employees from Gusto, so a new hire you added in Gusto will not appear in Timesheets.com on its own. Add them in Timesheets.com and map them to their Gusto record.
To add a new hire:
Select Add New User in the left menu and fill out the form.
Make sure the name matches the employee’s name in Gusto.
Select the gears icon in the top right.
Go to the Data Export tab.
Select Gusto Payroll Sync.
Confirm the mapping for the new user, then select Save.
Timesheets.com sends a sync error notification by email and to your dashboard.
To fix a sync error:
Select the dashboard notification or the link in the email to open the Gusto integration page.
Select Reauthorize.
Follow the prompts to reconnect.
Disconnecting stops future syncs between Timesheets.com and Gusto. Your data stays in place — disconnecting does not delete anything in either system.
To disconnect Timesheets.com from Gusto:
Select the gears icon in the top right to open Company Settings.
Select the Data Export tab and find the Gusto section.
Select Payroll Sync.
Select Disconnect From Gusto.
Note: You can reconnect later, and you can connect to a different Gusto company. Review your user mapping after you reconnect to make sure each person still points to the right Gusto record.
