With Gusto’s Time tracking feature, admins with the required permissions can request that employees share their location when clocking in and out to track which employees are working from authorized workplaces.
If they accept, the Gusto mobile app will record their location at the moment of clocking in and clocking out—not for the duration of their shift.
Keep in mind, Gusto cannot require employees to share their location. If they're not comfortable sharing their location, work with your team directly.
Set authorized workplaces: Set up locations where employees should clock in and clock out so that Gusto can flag time tracked at other locations.
Employees share locations: With the Gusto mobile app, employees can share their location when clocking in and out. Location sharing can only be done through the Gusto mobile app.
To remove this requirement, employees can simply update their preferences to no longer share their location.
View shift locations: See where employees clocked in and out right from their timesheet.
Click the Time & Attendance section and select Time tracking.
In the Geolocation box at the bottom of the page, select Learn more.
Click Set up location sharing.
Click Add a new workplace.
You can add unlimited authorized workplaces.
Locations for clocking in and out can be seen by all employees who share their location. Avoid setting up personal locations like home addresses.
Enter the workplace address and select a location range.
The location range is how far from the exact location an employee can work from and still be considered working at the authorized location.
For example, use the smallest location range (50,000 ft²) for a small retail shop, or the largest location range (500,000 ft²) for a large company office.
After adding the location, click Next.
Choose the employees who need to share their location —we'll send them a request to turn on geolocation.
All employees who track time: Every employee who tracks time will receive a request to turn on geolocation.
Only some employees who track time: You'll need to select which employees to add by clicking the + next to their name.
Click Save & Finish.
Once your employees allow their Gusto mobile app to track their location, you’ll see the location on their timesheet. If the employee reports an incorrect location (the location detected isn't where the employee is supposed to work), they’ll be able to leave a note for you on the timesheet with their correct location.
Note: If an employee edits the hours on their timesheet, the location stamp will be removed, as Gusto will be unable to determine their work location for the time they changed.
You can manage the different authorized workplace locations in your Gusto admin account.
When editing a location, you'll only be able to change the location name and the location range. If you need to edit the workplace address, you’ll need to add a new authorized location and remove the incorrect location.
Add an authorized work location
Click the Time & Attendance section and select Time tracking.
Click Manage settings & policies in the Settings & policies box.
Select the Geolocation tab.
Click Add a new workplace.
Enter the workplace information, along with a location range, and select Add workplace.
Edit an authorized work location
Click the Time & Attendance section and select Time tracking.
Click Manage settings & policies in the Settings & policies box.
Select the Geolocation tab.
In the authorized workplaces section, click the three dots in the Actions column and select Edit.
Change the location name or location range and select Save.
Remove an authorized work location
Click the Time & Attendance section and select Time tracking.
Click Manage settings & policies in the Settings & policies box.
Select the Geolocation tab.
In the authorized workplaces section, click the three dots in the Actions column and select Remove.
On the next screen, click Remove.
Removing a workplace will prevent employees from tracking time there in the future. The workplace will still be displayed on timesheets for any time that has already been tracked there.
Q: My employees are at my designated location, but their geolocation is not getting picked up. What do I do?
A: The location range when the work location was set up isn’t large enough, or the pin is not set to the correct location. Go to the work location and click Edit to review the pin location and range. If the pin location is incorrect, delete the location and set it up again with the correct pin location. If the range is incorrect, edit the location and select a larger range.
Q: My employees cannot turn on their location services.
A: This will happen if the employees deny location services when initially asked. They'll need to go to their settings app and allow location sharing.
Q: My employees edited their location and their location no longer appears. Why?
A: If an employee edits the hours on their timesheet, the location stamp will be removed, as Gusto will be unable to determine their work location for the time they changed.
