With Gusto's Time Kiosk feature, admins with the required permissions can turn any company device that’s connected to the internet into a central station for their team to clock in and out, track their time, and take breaks.
Important: Time Kiosk is available to customers on the Plus, Premium, or Time & Attendance Plus Simple add-on plans who use Time Tracking.
Any employee or contractor enrolled in time tracking can use the Kiosk to clock in and out. To set up time tracking, add or manage employees enrolled in time tracking, or edit time tracking settings, see this article.
Employees and contractors can manage their tracked time and PIN settings from their Gusto account. Gusto Kiosk does not currently offer any functionality for employers or admins.
To set up time tracking, follow these steps.
Go to Settings.
Select the Customization tab.
Next to Time tracking, select Edit.
Toggle to Enabled.
Select Save.
To set up time tracking in the Gusto mobile app, see Set up and manage Gusto Time tracking.
For your kiosk, we recommend using a dedicated device that does not contain sensitive information. If that is not possible, make sure to secure any sensitive information on the device, since your team will be accessing it.
To set up Time Kiosk for the first time, follow these steps.
Select Time and Attendance and go to Time tracking.
Under Manage Time Tracking, find the Kiosk tile and select Learn more.
Select Get Time Kiosk.
Enter a name for the kiosk, then select Save and Continue.
On the tablet or computer you want to set up as a kiosk, open a new browser window and go to kiosk.gusto.com.
If the device has not been set as an active kiosk, an 8-character code will appear on the page.
Enter the 8-character code that appears on your device.
If your code does not work, wait a few minutes and refresh the page on your kiosk device to get a new code. Codes expire every five minutes.
Select Activate and finish.

All team members assigned to time tracking will automatically show up on your kiosk once the device has been activated. If a person is missing from your kiosk, make sure they have been added to time tracking first.
To add team members to time tracking, follow these steps.
Select Time and Attendance and go to Time tracking.
Select Settings and policies, then find the People assigned to time tracking table.
Select Add or remove people.
Find the names of the people you want to add to time tracking and the kiosk. Select each name to add them.
Select Save.
Their names will now show up on all your kiosks, and they can start clocking in and out.
To add team members to time tracking, follow these steps.
Open the Gusto mobile app and sign in.
Tap Time.
In the top-right corner, tap More.
Select Settings and policies.
Scroll to People assigned to time tracking and tap Add or remove people.
Tap Search for a team member and enter the name of the person you want to add.
Tap the checkbox next to their name to add them.
Tap Save, then tap Next.
Assign an overtime policy (required for overtime-eligible employees) and a break policy (optional).
Tap Save.
Their names will now show up on all your kiosks, and they can start clocking in and out.
Time Kiosk is accessible from nearly any internet-connected tablet, laptop, or desktop.
Important: If you're using incognito mode, or have settings to delete local storage/cookies, the kiosk will unlink when the browser is closed.
Any tablet or computer that has access to the internet is supported. The device must be online for the Time Kiosk to work.
When selecting a device, consider whether it'll have access to Wi-Fi. If not, choose a device that also has cellular internet capabilities.
Mobile devices with small screens are not supported at this time, as their resolution is too low. See the minimum resolution requirements below.
Time Kiosk is optimized for 1024 × 768 pixel screens in portrait or landscape orientation.
If you cannot see the entire Kiosk screen, your device resolution might be set below a height of 500px. Be sure to set the resolution to a minimum of 900px wide by 600px high.
Time Kiosk is a web app that supports the latest version and the two previous versions of the following browsers:
Chrome (Desktop, iOS, and Android)
Safari (Desktop and iOS)
Firefox

Time Kiosk is a web app accessed from your device's browser at kiosk.gusto.com. Make sure the kiosk device is online and the browser is pointed to that URL each day so team members can clock in and out.
Time Kiosk will not automatically appear as an icon on your tablet's home screen. Bookmark kiosk.gusto.com for easy access, or save the Time Kiosk page as an icon on your tablet's home screen by following the steps below.
To save Time Kiosk to your iPad's home screen, follow these steps.
In your iPad's browser, go to kiosk.gusto.com.
Select the download icon (square with arrow pointing up).
Select Add to Home Screen.
The Gusto icon will now appear on your home screen.
To save Time Kiosk to your Android tablet's home screen, follow these steps.
Open Chrome on your tablet and go to kiosk.gusto.com.
Select Menu (often shown as three dots).
Select Add to Home Screen.
Confirm or change the name, then select Add or Auto-add.
The Gusto icon will now appear on your home screen.
Hours logged from the kiosk appear in team members' normal timesheets, tagged with the name of the kiosk they used. Admins and managers can also see logged hours and the kiosk location tag on team members' timesheets.
The first time a team member uses a kiosk, they'll complete a one-time setup of a personal 4-digit PIN to verify their identity before clocking in and out.
Place the kiosk somewhere your team can easily access when clocking in and out.
Keep the kiosk on premises at all times.
Secure any sensitive information on the device, since team members may be able to access it.
To set up additional kiosk devices, follow these steps.
Go to Time and Attendance and select Time tracking.
Under Manage Time Tracking, find the Time kiosk tile and select Manage kiosks.
Under Kiosk devices, select Add kiosk.
Enter a name for the kiosk, then select Next.
Make sure this kiosk name is different from any other kiosk already set up.
On the tablet or computer you want to set up as a kiosk, open a new browser window and go to kiosk.gusto.com.
If the device has not been set as an active kiosk, an 8-character code will appear on the page.
Enter the 8-character code that appears on your device.

How to review and manage timesheets:
To open employee timesheets in your web browser:
Sign in to Gusto.
Go to Time & Attendance and select Time tracking.
In Open employee timesheets, choose:
View for active pay periods
View & sync for past pay periods
We show the first three open timesheets by default. If you don’t see the one you need, select View more.
Open timesheets belong to pay periods where payroll has not run yet. Once payroll runs, the timesheet disappears from this list.
To see older timesheets after payroll has run: Select View timesheet history, then choose a pay period from the dropdown.
To open employee timesheets in the mobile app:
Open the Gusto mobile app and sign in.
Go to Time.
Find the pay period and tap Review.
If you do not see the one you need, select View more.
Open timesheets belong to pay periods where payroll has not run yet. Once payroll runs, the timesheet disappears from this list.
To see older timesheets after payroll has run: Select View timesheet history, then choose a pay period from the dropdown.
You’ll see each employee’s total hours for the pay period.
In your web browser:
Select View timesheet.
Scroll to the day you want to change and select Edit.
Make your updates.
Select Save.
To see all changes made to the timesheet, scroll to the bottom and open the Version history dropdown.
In the mobile app:
Tap the name of the employee whose timesheet you want to see.
Tap the day you want to change.
Select Edit or Add.
Make your updates.
Select Save.
Tap the back arrow.
Once the hours look correct, approve them by toggling to Approved.
You can do this:
From the employee’s pay period view in the top-right corner
From the main My Team’s Hours page
Or approve all at once by selecting Approve all timesheets
Important: Approving hours locks the timesheet. No one can edit it after approval.
When you approve hours for an overtime-eligible employee, we automatically sync those hours to payroll.
If you have permission to approve timesheets, you also have permission to sync hours to payroll.
When you run payroll, you'll see all synced hours for overtime-eligible employees. You can still edit the hours when you run payroll, but we do not recommend it, because:
Any edits you make in payroll will not update the employee’s time tracking log.
This can create mismatched records for you and the employee
When there are unapproved timesheets for the pay period, we show a Review timesheets step at the start of the payroll flow.
You can approve timesheets in two ways:
Select Approve all to approve every timesheet at once.
Review and approve timesheets one employee at a time.
If a timesheet needs changes:
Select the employee’s name.
Make your edits.
Save your changes.
Once all timesheets are approved, select Continue to move to the next step of running payroll.
In your web browser
To review contractor hours in your web browser:
Click the Time & Attendance section and select Time tracking.
Scroll to the "Contractor timesheets" section.
Click Review & sync.
Click View timesheet to review the hours or make any changes.
Once reviewed and approved, click sync hours to payments.
This will save the hours reported by your contractors, and sync it to your Pay contractors tab.
Click Pay and select Pay contractors to process payment(s).
From the "Pay domestic contractors" tile, click Create Payment.
Select the pay date—you can select the present date or one in the future.
The default date shows the earliest pay day for direct deposits.
If you have multiple bank accounts set up, select which bank account you'd like to process payroll from.
Click + Enter payment to submit wages and/or reimbursements (if applicable), and invoice number—minutes worked should be entered as a decimal percentage of hour (ex. 1 hr 15 minutes is entered as 1.25 hrs).
Optional: Click Add Memo to leave a small message on the payment.
Click Continue to review the payment.
Verify the total amount and click Submit payments, or Go back if you need to make changes.
If your payments need to be made by check, you’ll be taken to a page that confirms the amount you need to pay the contractor. Once you’ve written the check, click Finish Payment.
In the Gusto mobile app
To review contractor hours in the Gusto mobile app:
Open the Gusto mobile app and sign in.
Go to Time.
Scroll to Contractor timesheets and tap Review.
Tap the contractor's name to review hours or make changes.
Once you confirm their hours, tap Sync hours to contractor payments.
Select Sync and lock timesheets.
This saves the hours reported by your contractors and syncs them to your Pay contractors tab.
You'll be taken to the Pay contractors section. Select the payment date. You can select today's date or a future date.
The default date shows the earliest pay day for direct deposits.
If you have multiple bank accounts set up, select which bank account you'd like to process payroll from.
To change payment details, add an invoice number, add reimbursements or tips, or add a note to the payment: Scroll to the name of the contractor and tap Edit. Make the change and tap Done.
Select Review summary.
Review the details and tap Submit payments.
If your payments need to be made by check, you’ll be taken to a page that confirms the amount you need to pay the contractor. Once you’ve written the check, click Finish Payment.
Employees and contractors can set up their PIN settings from their Gusto account or on the Time Kiosk.
If needed, admins or managers can help employees set up their PIN for the first time on the Time Kiosk.
On the device that's been set up as a Time Kiosk, go to kiosk.gusto.com.
Find the worker’s name on the Time Kiosk entry screen by scrolling or using the search bar and select their name.
Enter a custom 4-digit PIN for that worker.
Re-enter the PIN on the next screen to confirm.
The worker’s PIN will be immediately updated across all Time Kiosks.
Admins and managers cannot change or see a worker’s PIN after it’s been set up, since employees and contractors can manage their PIN settings from their Gusto account or on the Time Kiosk.
Q: Can employees track by project or job title on the kiosk?
A: Employees can track time by project on the kiosk. Employees assigned to multiple jobs can also use the kiosk to track time by job title. Contractors cannot currently track by project on the kiosk.
Q: How do I change the time zone on the kiosk?
A: The kiosk displays time based on the time zone of the device it is on. To change the time shown on the kiosk, update the time zone on that tablet or computer.
Note: The time saved on a timecard is based on the employee's time zone in their Gusto profile — not the device. For example, a worker may see Eastern Time on the kiosk screen, but their timecard could show Mountain Time if that is what's set in their profile. Employees can update their time zone in Gusto.
Q: Will Gusto provide devices for the kiosk?
A: No. Employers must provide their own internet-connected company devices for team members to clock in and out.
Q: Is there a limit to how many kiosk devices I can set up?
A: No. There is currently no limit to the number of kiosk devices you can pair with your account.
Q: What do I do if my kiosk becomes disabled or I can no longer see the kiosk home screen?
A: If your kiosk becomes disabled or you cannot see the kiosk home screen, it is likely a data storage issue. To fix this, follow these steps.
On the kiosk device, clear the browser's cookies, local data storage, and cache.
Go to kiosk.gusto.com.
If the device is no longer linked, an 8-character code will appear on the page.
Sign in to Gusto from a separate device.
Go to Time and Attendance, select Time tracking, then select Manage kiosks.
Re-link the device by entering the 8-character code.
If the issue continues, contact Gusto support.
Q: Why can I not see the entire kiosk screen?
A: Your device resolution may be set below a height of 500 px. Set the resolution to a minimum of 900 px wide by 600 px high.
Q: Can I restrict team members to clocking in only on the kiosk?
A: For employees, yes. Timesheet settings allow admins to restrict employees to clocking in and out only on the kiosk. This restriction does not apply to contractors. Because contractors are in a different legal category, their clock-in options cannot be restricted.
Q: Do contractors have access to the same kiosk functionality as employees?
A: No. Due to legal differences between employees and contractors, contractors may clock in and out on the kiosk for convenience, but you cannot restrict or require them to do so. Contractors also do not have designated pre-defined breaks — they can clock out at any time for any duration.
