This article is for admins who want to connect Brightwheel with Gusto to sync employee timecard hours.
Thousands of early childhood education centers and schools use Brightwheel to manage their operations. With the Brightwheel and Gusto integration, you can send Brightwheel timecard hours to Gusto with one click. You can also view upcoming and past-due payrolls in Brightwheel. This saves time and reduces payroll errors.
Note: The integration does not support contractors or salaried employees.
Connecting to Gusto from Brightwheel is available to Brightwheel Premium plan customers. Multi-site organizations cannot connect to Gusto at this time.
To connect your Gusto account to Brightwheel:
In your web browser, sign in to Brightwheel.
In the side menu, click Staff & Payroll.
Go to the Payroll tab.
Select Connect your accounts.
If a Notify me button appears instead, you may not yet be eligible to connect to Gusto. You can choose to be notified if the integration becomes available.
Click Already use Gusto? Connect your account to Brightwheel.
Enter your Gusto admin credentials and click Sign in.
Click Authorize.
Stay signed in to Brightwheel and go to Staff & Payroll. Now you’ll match your staff’s Gusto and Brightwheel accounts to each other.
Choose the Payroll tab.
Under Active payrolls, click Manage staff connections.
In the pop-up window, choose the Gusto profile and job title that matches each member’s Brightwheel account.
Click Save.
You can now send timecards for hourly employees from Brightwheel to Gusto. Go to the Sync hours from Brightwheel to Gusto section of the article for next steps.
Once you connect the integration and map your staff’s accounts, follow the steps below to sync Brightwheel timecard hours for hourly employees to Gusto.
To sync hours:
In the side menu, click Staff & Payroll.
Go to the Payroll tab.
Under Active payrolls, choose the applicable pay period.
Click Send hours.
Review the selected staff members. You can review, add, or edit a timecard.
If you need to make corrections, go to Time Tracking to add or edit a timecard before proceeding.
Click Send hours. We receive the synced hours right away. Go to Pay in Gusto and choose the pay period to review.
If you get an error when mapping Brightwheel staff members to Gusto employees, or when sending timecards from Brightwheel to Gusto, try the following:
Confirm that employees are listed as hourly employees in Gusto. The integration does not support salaried employees.
Confirm that you’ve mapped each employee. Hours will not sync if you have not mapped the employee.
Check the pay period dates in Gusto and Brightwheel.
If you no longer want to sync timecards from Brightwheel to Gusto, you can disconnect the integration. We do not delete previously synced hours. You can reconnect the integration at any time.
To disconnect the integration:
In your web browser, sign in to Brightwheel.
In the side menu, click Staff & Payroll.
Go to the Payroll tab.
Under Gusto account info, click Disconnect Accounts.
