If you have a Plus or Premium plan with Gusto, you can connect Zoom to Gusto with the steps below.
When you integrate Zoom with Gusto, you can:
View, create, or remove your team’s app accounts directly from Gusto
Quickly set up new hire Zoom accounts from the onboarding checklist
If someone leaves the company, securely disable their Zoom access at the same time you dismiss them
You must be a Full Access admin or an admin with the Apps & IT permission to set up and manage Zoom accounts from Gusto.
Before you start connecting your teams' accounts, follow the steps below to connect Zoom to your company's Gusto account. If your company doesn't have a Zoom account yet, you'll have a chance to start one.
Go to the App directory.
Click Provisioning apps.
Select Zoom.
If your company already has an account with Zoom, click Connect.
If your company doesn't have an account yet, click Get Zoom.
Enter your Zoom admin credentials. You'll be redirected to Zoom to confirm your account.
Once you're directed to the Match Accounts page in Gusto, follow the steps below in the "Create or match team member accounts" accordion.
When to match an account:
For team members who already have a Zoom account with Gusto and the third-party app.
Matching accounts lets you remove the team member's Zoom access directly from Gusto if they leave the company.
When to create an account:
For team members who do not yet have a Zoom account.
Setting up their Zoom account from Gusto makes onboarding more efficient and lets you remove Zoom access directly from Gusto if you dismiss someone.
Follow these steps for anyone who already have a Zoom account through your company. Some accounts will be automatically matched if their name and email are the same in Gusto and Zoom.
Head to the App directory.
Choose Provisioning apps.
Select Zoom.
On the Accounts tab, click Match accounts.
The left side of the page lists all current Zoom accounts associated with your company account. Find the name of the person you want to match and click Select an option.
Choose the Gusto profile associated with the account.
Repeat for any other accounts you want to match.
Scroll to the bottom of the page and click Match accounts.
On the Accounts tab, each matched person's "App account" and "Status" column reflect your changes. You can also view each person’s accounts from the Apps tab of their Gusto profile.
Outside of the new hire onboarding or dismissal steps, you can add or remove someone's Zoom account from the Gusto App directory.
Head to the App directory.
Choose Provisioning apps.
Select Zoom.
On the Accounts tab, find the person you want to create an account for and click the three dots icon.
Click Create account.
Once their account is created, it's listed in the team member's profile under their Apps tab. On the app’s page in the App directory, their account is also listed under the Accounts tab.
First, onboard the new hire to Gusto. If you sent them an offer letter through Gusto, you'll have to wait til they accept their offer for the onboarding checklist to appear. Here's how to set up their new Zoom account from the onboarding checklist:
Go to the People section.
Toggle to the Onboarding team members tab.
Click the name of the onboarding person you want to set up Zoom for.
Next to the "Create app accounts" task, click Start.
The "Connect your apps" screen lists your company's connected and available apps.
If Zoom is already listed under "Connected," you're good to go. Click Save & continue to set up your new hire's account.
If Zoom is listed under "More apps," click Connect to set up your company's connection. You'll be redirected to set up the connection (follow the steps above under "Add a new provisioning app for your company"). Once connected, return to the People section to create your new hire's account.
Check the box for Zoom.
Click Save & continue.
Click Create accounts.
This creates the new hire's Zoom account. They're immediately invited via email to access their new account.
Once created, Zoom is listed in the team member's profile under their Apps tab. On the app’s page in the App directory, their account is also listed under the Accounts tab.
You can quickly and securely remove someone's Zoom access in two ways: from their profile, or at the time of dismissal.
If you want to simply disconnect their Zoom account from Gusto but keep the account active, scroll to “Unmatch a current team member's account.”
When to remove a Zoom account: When you want the person to no longer have access to the Zoom account, such as when you dismiss them.
When to unmatch a Zoom account: This keeps the person's Zoom account active, but it means you'll no longer manage their access to it from Gusto. Unmatching accounts isn't common practice unless a mistake was made and you need to match them to a different account.
You can remove a current team member’s Zoom account from the Apps tab of their profile.
Head to the People section.
Click the person’s name.
Go to their Apps tab.
Find their Zoom app and click Actions.
Click Remove account.
Once you complete these steps, the person's Zoom access is revoked and their account is removed. Their connection status is updated on both the app's page in the App directory and the Apps tab of their profile.
When someone leaves the company, you can securely remove their Zoom account at the same time you dismiss them.
In Gusto, begin the dismissal steps.
In part 2 of the dismissal process, “Remove app accounts,” check the box in Zoom's tile to remove their access.
Click Save & continue and continue dismissing them.
This immediately revokes their Zoom access and removes their account.
If you want to simply disconnect a Zoom account from Gusto but keep the Zoom account active, follow these steps.
Head to the App directory.
Choose Provisioning apps.
Select Zoom.
On the Accounts tab, find the name of the person you want to unmatch.
Click the three dots icon next to their name.
Click Unmatch.
Once complete, this person’s Zoom account remains active but your ability to manage their Zoom access from Gusto is disabled. If you want to reconnect their account to Gusto in the future, return to the Accounts tab and choose Match accounts.
If you no longer want to create and remove your team's Zoom accounts from Gusto, follow these steps. This does not remove any of the team member's accounts.
Head to the App directory.
Under "Connected apps," select Zoom.
Click the About tab.
Click Disconnect.
The next time you need to create or remove someone's Zoom access, you'll need to do so within your Zoom account instead of in Gusto.
