Run an off-cycle payroll

You might need to pay your team outside of your regular pay schedule for a variety of reasons, and to do that you can run an off-cycle payroll. Off-cycle payrolls default to using the same withholding rates, deductions, and contributions made in regular payrolls. If you're paying more than one employee with the same payment details, you can click Bulk edit to save you time. Learn more about that here.

Note: to pay bonuses with a supplemental withholding rate of 22%, you can run a bonus payroll.

If your benefits are managed by Gusto, your standard benefit amounts will not automatically be applied. To adjust the current default settings, reference step 4 below. If you have a 401k plan, those deductions and contributions must be made with all payrolls—including off-cycle payrolls. You will not be able to block these deductions and contributions.

To run an off-cycle payroll:

  1. Go to the Run Payroll section.
  2. Scroll to "Other payroll options" and select Off-Cycle Payroll.
  3. Enter the work period associated with this payroll (we need this for tax purposes).
  4. Choose the date you'd like your employees to receive pay.
  5. Select the name of the people you want to pay, and click Enter Payment to their payment details (hours, earnings, payment method, etc). 
  6. Click Save & continue.
  7. Add in any vacation or sick hours for the employee(s) selected, then click Save & continue.
  8. Choose to block or apply contributions and deductions that you have on regular payrolls.
  9. If applicable, update the tax withholding rate for this payroll (by default, this will match the regular payroll schedule).
  10. Click Save & continue.
  11. Review the details of your payroll. When you're ready, click Submit payroll. If you need to make changes, click Go back.

On the next screen you'll see a summary of the payroll. From here, you can:

  • Return to your Dashboard,
  • Click Full Summary to view a downloadable PDF report or, 
  • Cancel this payroll

You'll receive a confirmation email letting you know that your off-cycle payroll has been processed. 

Made a mistake? Click “Cancel this payroll” and your payroll will automatically be cancelled, and the information saved in case you want to run it later.
