Create and view projects

View and create projects to see workforce costs. Employees can track hours spent on projects and you can get a report detailing the cost of your team’s time, including wages, benefits, taxes, and more.

Project time tracking is available to our Complete and Concierge customers. If you don’t have access to this feature, upgrade your plan.

Create and view projects

  1. Sign in to your Gusto account.

  2. Go to the Time tracking section of your account.

  3. Click the Projects tile.

  4. Here’s how it works:

    • When you have new projects or clients, add them to Gusto.

    • Your team tracks how much time they spend on each project.

    • Get a report detailing the cost of your team’s time per project.

  5. Click Set up project tracking.

  6. Click Create project.

    • Keep in mind: at this time, you are not able to remove or edit a project once it has been saved.

  7. Add a Project name.

  8. Enter a description (optional).

  9. Click Save.

Once your project has been created, employees can track their hours to it. After you’ve run payroll, you can easily generate a workforce costing report from the Projects page of your account.

FAQs

Q: Can everyone using Gusto track time to projects?

A: No, but all W-4 employees can. Contractors cannot currently track time to projects in Gusto.

Q: I have non-exempt employees who track time for payroll. How does this work for them?

A: Non-exempt employees still clock in and out as usual. Projects are tracking independently, in a separate tab.

Q: Can I see real-time workforce costs for my projects?

A: For now, you can’t see costs in real time. You can see up-to-date workforce costs for a given project whenever you run payroll.
