Map your chart of accounts by departments

If you have an accounting integration, you can group your payroll information by department with your chart of accounts. Mapping by departments (as opposed to job codes) is good for businesses who want to better understand payroll expenses of a department or a division.

  1. Make sure you have the following already set up:
    • You have an accounting integration with QuickBooks Online, QuickBooks Desktop, FreshBooks, or Xero.
    • Department specific accounts have been created in the accounting software.
    • Your employees/contractors are assigned to a department in Gusto.
    • Your original chart of accounts is mapped.
  2. Click the Settings tab.
  3. Click the Integrations tab.
  4. Next to accounting software, click edit.
  5. Click Edit settings on the right side of the page.
  6. Click Enable Department Mappings.
    • Keep in mind: You can only map your chart of accounts by departments or jobs, not both.
      • Job mapping available to QuickBooks Online and Xero users. 
  7. Click Save.
  8. Scroll to the "Department Account Mappings" headline.
  9. Click Setup next to the Department(s) you've created.
  10. Map your chart of accounts.
    • Make sure the names listed on the right side match with the account names seen in your accounting software account.
  11. Click Save.

These transactions will be exported by department to your accounting software account. Any employees or contractors not within the enabled department will sync using the Default Account Mappings.
