Add your independent contractors

For a list of the type of contractors that Gusto supports, reference this article. Prior to adding your contractor in Gusto, request that your contractor complete a Form W-9 and provide you a copy. If they have trouble completing this form, you can direct them to this article.

Follow these steps to add independent contractors: 

  1. Go to the Hiring section.
  2. ​Click Hire new person.
  3. Click Add a contractor
  4. Select if this is an Individual or Business contractor type.
    • If only Line 1 on the W-9 is completed, enter the contractor as an Individual. If there is a Business Name on Line 2 of the W-9, enter the contractor as a Business.
  5. Enter the contractor's details such as name, compensation information, start date, and email address.
    • If you elected Individual as the contractor type, you may be asked to answer additional questions about new hire reporting and their primary work state.
  6. At the bottom, select the checkbox to invite this contractor to enter their own details in Gusto.
    • If you wish to enter all of their information yourself, unselect the checkbox. Proceed with entering their SSN/EIN, address, and payment info directly as it was provided to you on the W-9.
  7. Click Save and Continue.
  8. Your contractor will receive an email requesting them to add their SSN/TIN (for an individual) or EIN (for a business), home address, and payment information for a direct deposit or check. When this is completed, you will be notified and can start paying them through Gusto.

Once you've added a contractor, you can use the people search bar at the top of your account to search for members of your team. 

Important: You're required to keep a copy of the W-9 that the contractor provided. 

If you're a Complete or Concierge customer, you can store an electronic copy of the W-9 in Gusto—if you don't see the ability to upload a document, you can upgrade your plan at anytime.

  1. Click the People tab.
  2. Click the Contractors tab. 
  3. Click the name of the contractor you added.
  4. Click the Documents tab
  5. Click Upload New Document,
  6. Select the copy of the W-9, add a name for your document, and click Upload.

Contractor Forms

Gusto will provide electronic copies of 1099-MISC to your contractors, and will file your 1099-MISC forms to federal and state agencies (if applicable) at the end of the year. 

We do not currently support: 

  • 1099-MISC filings to locals, where applicable 
  • Back-up withholding, if required for your contractor 
  • Contractor withholding, if required by the state
