You can update some information on your own in Gusto, while your employer must update other details for you. This article explains what you can change yourself, what requires employer assistance, and how to manage key details like bank accounts, addresses, and tax withholdings.
Your employer must update these details for you:
Your legal name
Social Security Number (SSN)
Job title
Job type (full-time, commission, etc.)
Work email
Action: Contact your employer or admin if you need to change these.
Note:
If you work for multiple companies in Gusto, you may need to switch accounts to see all your information.

For company details like entity type or mailing address, only admins can make updates.
You can add, update, or remove bank accounts for direct deposit.
US employees and contractors can add up to 5 bank accounts and split pay between them.
Go to the Pay section in your profile or follow the steps below.
Add or update a bank account:
Click My profile.
Go to the Pay section.
Click:
Edit to update the existing bank account.
Add payment method to add another bank.
Verify your bank with Plaid to start using it right away. It's faster than manual verification, and it lets Gusto spot and alert you to bank issues sooner.
Split pay to divide your pay between banks (if you have more than one set up)
Complete the security check (2-step code and confirm current bank). If you cannot get past this step, get help with 2-step verification.
Click Save.
Important: If you update your bank info after payroll is submitted but before payday, funds may go to your old account. Contact your employer if this happens.
You can split your money two ways:
By percentage (example: 70% to checking, 30% to savings)
By dollar amount (example: $500 to one account, the rest to another).
If you split by dollar amount, drag and drop banks to set the payment order. We pay in the order you set until all your money is sent.
Mobile app: US employees can also add or split payments in the mobile app.
We'll email you to let you know and send reminders every 3 business days. If nothing is fixed within 12 business days, your pay will go back to your company’s bank account.
We'll automatically try to resend the payment when you:
Update your existing bank information, or;
Fully remove your old bank account and add a new one.
US employees and contractors can add up to five bank accounts. You can split your pay between different banks by percentage or dollar amount.
Split by percentage:
Example: 80% to checking, 20% to savings.
Percentages must add up to 100%.
Split by dollar amount:
Example: $1,000 to checking, rest to savings.
Drag bank names to reorder them. We pay in the order you choose.
Go to My profile.
Click Pay.
Click Add payment method.
Set up payment splitting—choose percentage or dollar amounts.
When splitting by amount, you can reorder the bank accounts by clicking and dragging the bank name. We’ll pay the amounts in the order you choose until the salary has been fully distributed to the last account.
Click Save.
Employees: To add bank accounts and split payments in the mobile app
Open the Gusto mobile app.
Go to the Pay tab.
Select Edit paycheck split.
To add a new bank account, select Add account. Follow the prompts to add your account.
Enter the pay allocation you'd like.
Click Save.
Important: If you remove your only bank account, payrolls submitted when you do not have a bank account on file will be classified as "paper check" instead of direct deposit. Your employer will need to give you the check, unless they're using Gusto to mail them.
To remove a bank account:
Click My profile.
Under Information, click Pay.
Next to the bank you want to remove, click Edit.
Before making changes, you might need to complete a security check by entering your 2-step code and confirming your current bank details.
If you have trouble with this step, this article offers help with 2-step verification.
Scroll to the bottom of the pop-up.
Click Remove account.
We'll email you to let you know and send reminders every 3 business days. If nothing is fixed within 12 business days, your pay will go back to your company’s bank account.
We'll automatically try to resend the payment when you:
Update your existing bank information, or;
Fully remove your old bank account and add a new one.
If your bank account is closed or you do not know the account number, you will not be able to complete the verification step on your own.
Contact your employer's Gusto admin and let them know you cannot verify the old bank account. Your admin will need to reach out to Gusto support — in some cases, we can turn off the verification requirement so you can add a new bank account without verifying the old one.
Ask your admin to include the following when they contact us:
Your name
Confirmation that you cannot access the old bank account
The reason the account needs to be removed (for example: account closed, or account number unknown)
We'll review the request. If we can turn off the verification requirement, you'll be able to move forward and update your payment information.
Changing your home address may affect taxes and benefits.
If benefits are with Gusto, we will update insurance carriers with your new address.
If benefits are with a third party or a broker, ask your employer to update the address with carriers.
Open your home address history in Gusto or follow the steps below to update your address.
In your web browser
To change your home address in your web browser:
Go to My profile.
Under Information, click Personal.
Scroll to Address and click Manage home address.
PO boxes are not allowed. Only US addresses are supported.
Click Change address.
Select whether you need to correct the current address or if you’ve moved to a new address.
Correcting an error in your current address: Edit the address.
Moved to a new address: Enter your move-in date and new address.
Click Save.
Once you have a history of more than one home address, you can use the Actions menu (three dots) to edit your known addresses. Click Add a past address to add historical addresses.
In the mobile app
To change your home address from the Gusto mobile app:
Open the Gusto mobile app.
In the top-right corner, select the You icon.
Select Personal information.
Choose Home Address.
If you’re correcting an error in your current address, select your current address instead.
Select Add new address.
Enter the address and the date you moved in.
Select Save.
Open your profile in Gusto or follow the steps below.
Click Profile on the left.
Under Personal, scroll to the Address headline and click Edit.
Your address will be used to report your 1099 annual tax form to the government, so make sure it's accurate.
Enter the address and click Save.
At this time, Gusto does not support adding a mailing address in addition to a home address.
Contact your employer—they can help update a current or previous home address or change your work address.
For personal tax advice, consult a certified public accountant (CPA) or licensed tax advisor—we cannot advise on your personal W-4 elections.
Click My profile.
Under Additional, click Taxes.
Under Federal, click Edit.
The selections you make correspond to the IRS’s Form W-4.
Box 1(c)–Enter your federal filing status, this is the only required field.
More information about Head of household can be found by clicking the question mark icon on this IRS page (next to the question about your filing status).
If you select “Exempt from withholding”, we will not withhold federal income taxes, but we'll still report taxable wages on a W-2. Anyone who claims exemption from withholding needs to sign a new W-4 (or update their withholding in Gusto) by Feb 15 of each year.
Complete the optional next sections only if they apply to you—otherwise, skip them.
Box 2(c)–Multiple jobs: Answering this results in higher withholding, but to preserve privacy, this can be left unchecked.
Box 3–Dependent total: If your total income will be $200,000 or less ($400,000 or less if married filing jointly), add the amounts below and enter the total in Gusto.
Multiply the number of qualifying children under age 17 by $2,000;
Multiply the number of other dependents by $500.
Box 4(a)–Other income, not from jobs: If you want tax withheld for other income you expect this year that will not have withholding, enter the amount of other income here. This may include interest, dividends, and retirement income.
Box 4(b)–Deductions: If you expect to claim deductions other than the standard deduction and want to reduce your withholding, use the Deductions Worksheet on page 3 of the W-4 instructions and enter the result in Gusto.
(Starts in 2026) Step 4(b): Overtime & Tips: You may deduct eligible overtime premium pay and voluntary tips. How to do it:
Estimate your yearly overtime premium pay + voluntary tips.
Complete the W-4 Deductions Worksheet carefully.
Step 4(b), Line 1a - Qualified Tips:
Employees cannot claim a deduction for tips for Tax Year 2026 if their employer is a Specified Service Trade or Business (SSTB). Employees of SSTBs are not eligible for the new tip deduction. Check with your employer to see if they are an SSTB prior to adding any tax deductions for your tips
Confirm that your tips qualify. To be considered “qualified tips” under this law, the tips must:
Be voluntarily given by your customers or clients
Have no penalty or consequence for non-payment
Be set by the customer, not the business
Come from work in an approved tipped occupation (see the Treasury’s list here)
Step 4(b), Line 1b - Qualified Overtime Compensation:
Do not enter all overtime pay, or you may underpay your taxes. The overtime deduction only applies to the premium portion of overtime pay - the "and-a-half" part of time-and-a-half compensation.
Example:
Regular rate: $20/hour
Overtime premium rate (just the half-portion of time-and-a-half): $20 X 0.5 = $10/hour
Estimated number of overtime hours to be worked in the next year: 33
Overtime premium rate times estimated overtime hours: $10 X 33 = $330.00
Enter $330.00 in Step 4(b) 1b (subject to limits - read IRS instructions carefully)
Complete the other steps of the worksheet.
Enter the total from Line 15 of the worksheet in Step 4(b) of your W-4 in Gusto.
Result: Less tax withheld from each paycheck (more take-home now).
Need help? Ask a CPA or licensed tax advisor about which amounts qualify.
Box 4(c)–Extra withholding: Enter any additional tax you want to withhold each pay period.
Click Save.
Click Sign Document and sign your new W-4 form. You can also review and sign this form later under Documents.
Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under Employee Taxes Withheld.
Sign in to your account on the mobile app¹.
In the top-right corner, select the You icon.
Select Tax elections.
Click Edit for the sections that need to be updated.
Click Save.
Click Sign Document and sign your new W-4 form. You can also review and sign this form later under Documents.
Your changes will take effect the next time your employer runs payroll. On or after the check date, view your paystub and review your withholding under Employee Taxes Withheld.

To re-certify your federal tax exemption status each year by February 15:
Sign in to Gusto before Feb 15 of each new calendar year.

Important: To change your email address, you need to sign in to your employee or contractor profile in Gusto. If you cannot sign in, check out this article to get sign-in help.
To change your personal email address or password:
Sign in to Gusto on a desktop computer.
If you have multiple profiles and using the same email for each, learn how to switch between them in this article.
In the left menu, click Settings.
Go to Security and click Change next to your email or password.
Enter your new email or password. You can also enter a recovery email to use in case you lose access to your primary email.
If you get the error message “Email already in use” we can help.
To contact us, sign in to your Gusto account and click the help icon in the top-right corner of the page.
Can't access your account? Follow these steps to troubleshoot signing in. You will not be able to change account information (like email or password) until you've successfully signed in again.
Click Save.
We’ll send a notification about this update to your former email address.

Important: This is the phone number shown to your employer and coworkers (not your 2-step verification number).
If you have a new phone number and cannot sign in, prove who you are first. Then, you can update your security code phone number.
If you need to update your work phone number, reach out to your employer for help.
In your web browser
Sign in to your employee account. If you cannot sign in, get help based on your issue.
Go to My profile.
Under Information, click Personal.
Next to Personal information, click Edit.
Add or update your personal phone number, then click Save.
In the Gusto mobile app
Open the Gusto mobile app.
In the top-right corner, select the You icon.
Select Personal information.
Choose Personal contact phone number.
Enter your phone number and select Save.
After signing in on the web, in the right corner of your profile, click your profile name.
Click Settings.
Go to Privacy.
Next to Phone number, click Edit.
Select whether you’d like to hide or show your phone number from coworkers
Click Save.
If you do not have the Gusto mobile app, reach out to your admin to make the update for you.
To update your date of birth in the mobile app:
Open the Gusto mobile app.
In the top-right corner, select the You icon.
Select Personal information.
Choose Date of birth.
Tap the date of birth field and select your birthday.
Select Done.
Tap Save.
To update your birthday as a US contractor:
Sign in to your contractor profile. If you cannot sign in, get help based on your issue.
Go to My profile, then Personal.
Next to Personal Information, click Edit.
Edit your birthday and click Save.
Go to Settings, then Privacy.
Next to Birthday, click Edit.
Select whether you’d like to hide or show your birthday from coworkers. We will not show your birth year to coworkers.
Click Save.
In your web browser
To change your preferred name or pronouns:
Sign in to Gusto. If you cannot sign in, get help based on your issue.
Go to My profile, then Personal.
Next to Personal Information, click Edit.
Edit your preferred first name or pronouns and click Save.
In the mobile app
To change your preferred name or pronouns:
Open the Gusto mobile app.
In the top-right corner, select the You icon.
Select Personal information.
Tap your name.
Edit your preferred first name or pronouns and select Save.
To upload a photo or import one from your LinkedIn, go to the Personal details section of your employee profile and click the circle icon next to your name.
To upload a photo, go to the Profile section of your contractor profile and click the circle icon next to your name.
In your web browser
Go to My profile.
Under Information, click Personal.
Scroll to Emergency contact and click Edit.
Update the emergency contact details.
(Optional) Check the box next to Notification preference to tell us if you want your emergency contact notified if you’re arrested or detained at work. You can change this at any time in a web browser (not in the mobile app).
Some state laws give you the right to choose whether your employer notifies an emergency contact if you are arrested or detained while working.
Click Save.
In the Gusto mobile app
Open the Gusto mobile app.
In the top-right corner, select the You icon.
Select Personal information.
Choose Emergency Contact.
Update the emergency contact details.
Click Save.
If you need to update your notification preferences for the emergency contact, you must sign in from a web browser.
Your pay date depends on when your employer sends your payroll through Gusto. Your employer will always be the best first resource for questions about your pay. We cannot answer questions about when you will be paid, how much you will be paid, or why a payment looks different than expected. We can help with technical issues, like updating your bank account or troubleshooting a missing direct deposit after payday.
Non-US (international) contractors: If you have payment issues, ask your employer to message us through their Gusto account.

Important: Each company has different payment speeds. Ask your employer about your specific pay date. Gusto cannot answer questions about payments until your actual payday.
Your employer is responsible for giving you or sending you your paper check. Check your paystub in Gusto to see if you’re being paid by direct deposit or check.
If you do not see money in your account on payday (allow until 5pm local time), or you believe there’s a delay, follow these steps:
Make sure you’re signed in to the right Gusto profile. If you have multiple accounts, try switching to a different one.
See if you’re set up for direct deposit in your profile.
Note: Even if you have direct deposit set up, your employer can still choose to pay you by check.
Look at your paystub in Gusto to see if you’re getting paid by direct deposit or check.
If it says "check," your employer should give you a paper check. The money will not appear in your bank if you’re paid by check. Your employer is responsible for delivering your check.
Make sure your bank details are correct:
Look for the test payment:
Gusto sends a $0.01 test payment when you add bank info
You should see this within 1-2 business days
If you do not see it, your bank info might be wrong
If your bank info is wrong and we received a bank error when trying to deposit funds:
We’ll email you to let you know and send reminders every 3 business days. If nothing is fixed within 12 business days, your pay will go back to your company’s bank account.
We’ll automatically try to resend the payment when you:
Update your existing bank information, or;
Fully remove your old bank account and add a new one
If your bank info is wrong and we did not get an error trying to deposit funds:
Banks can take up to three business days after the check date to report an error. We need to wait for this response before we can help fix the issue.
After three business days, if you still need help, message us from the section of your account.
If no error is reported after three business days, we can share the ACH Trace ID. You can give this ID to your bank to help track and reconcile the payment.
If you recently changed banks:
Check your old bank account for the payment
If you cannot access your old account, message us from the section of your account to get your "ACH trace ID" (payment tracking number)
Then call your bank to help find the payment
Sign in to your current bank account or call your bank. Ask if there are any pending payments (credits) coming to your account.
Contact your employer first. Confirm:
Your expected pay date
Your payment method (check or direct deposit)
Your bank account details
Payment details
If your employer cannot help, they can message us from the section of their admin account. Our team can give them detailed information about your payment or any errors.
Q: When will my direct deposit arrive?
A: Banks have until 5 PM local time on payday to put money in your account.
Q: Why don’t I see my payment?
A: Confirm if you see a paystub in your account. If you don't, first reach out to your employer. If you do see a paystub, check your payment method. If you are being paid by direct deposit, check your bank account details.
Q: My bank info changed. What do I do?
A: Update your existing bank information in Gusto. Updating your bank account information allows us to quickly send your failed payment to the correct bank account the next business day.
If you fully remove your old bank account and add a new one (after getting a bank error):
For US employees: We’ll automatically try to resend the payment to the new account.
For all other users: You need to message us from the section of your account to resend your payment.
